Payments from participants are processed by Stripe, Let’s Do This’s payment processor partner. You receive net proceeds — the total registration fees and add-on purchases collected, minus LDT’s commission and any applicable fees — paid out to your connected Stripe account on your agreed payout schedule. Before you can receive payments, you need to connect a Stripe account. See Connecting Stripe for setup instructions.

How payments flow to you

Every participant payment goes through Stripe. LDT facilitates the transaction, deducts commission and fees, and transfers your net proceeds to your Stripe account. Timing and payout schedules are controlled by Stripe. LDT does not convert currencies. Registration fees and add-on purchases collected in one currency are paid out to you in that same currency.

Refunds

You can issue a refund from within a participant’s booking in your organizer dashboard. When you initiate a refund, you choose whether to absorb the LDT commission that was charged on the original transaction or return it to the participant. Refunds are executed by Stripe and typically appear on the participant’s card within 5–10 business days, depending on their bank. Partial refunds are supported — you can refund an individual add-on without canceling the entire booking. Payment plan bookings. The organizer-facing refund tool cannot process refunds on payment-plan bookings. To refund a participant on a payment plan, contact LDT support with the booking ID and the amount to refund. Only amounts already collected can be refunded — future installments have not been charged.

Chargebacks

A chargeback occurs when a participant disputes a transaction directly with their bank or card network. As the event organizer, you are responsible for all chargeback costs — including the disputed amount, network fees, and any re-presentment fees. LDT will manage and dispute chargebacks on your behalf where it is commercially reasonable to do so. If a dispute is lost, you are still required to reimburse LDT for the full cost. To support a dispute, LDT may ask you to provide evidence such as booking confirmations, participant communications, or your event terms.

Refund Protection

Refund Protection is an optional insurance service, powered by Protect Group, that lets participants protect their registration cost if they can’t attend due to a covered reason — such as illness, injury, bereavement, or transport disruption. Participants choose whether to add it at checkout; you don’t process claims on their behalf.
Refund Protection must be enabled for your account before it appears in checkout. Contact your account manager or LDT support to set it up.

What it covers

Refund Protection covers a participant’s full registration cost when they need to cancel for a reason listed in Protect Group’s policy. Coverage is dynamically priced — the cost varies based on the registration total — and the participant pays for it at checkout.

What participants see

After filling in their details, participants see a dedicated Refundable Registration step in checkout. They choose whether to add protection before proceeding to payment. The cost is shown before they confirm. Once purchased, participants can view their protection details and file a claim directly through Protect Group’s portal. A link to their claim portal and the policy terms appears in their booking management page.

Revenue share

You receive a share of each Refund Protection fee sold on your event. The exact percentage is set out in your Event Organizer Agreement.

Payment plan interactions

When a participant is on a payment plan, the full cost of Refund Protection is charged as part of the first installment — it is not spread across monthly payments.

Event Cancellation Protection

Event Cancellation Protection (also called Race Day Insurance) is an optional program that refunds participants if your event is canceled due to circumstances outside your control. It is provided through Adventure Advocates or another provider selected by LDT.
Event Cancellation Protection is elected and purchased as part of your Event Organizer Agreement. Contact your account manager to find out whether your event qualifies and to arrange coverage.

What it covers

If your event is canceled due to a covered circumstance — extreme weather, a natural disaster, or an act of terrorism — Adventure Advocates (or the applicable provider) refunds the registration cost directly to each affected participant. Coverage is subject to the provider’s qualification criteria and program terms, which are provided in your Event Organizer Agreement.

How it applies

Once purchased for an event, Event Cancellation Protection covers every participant who registers. There is no action required at checkout — participants are enrolled automatically from the moment they register. If a covered cancellation occurs, participants file claims directly through the insurance provider. You do not process the refunds yourself.
