You can refund a participant directly from their booking on the event Startlist. Two options are available: a standard refund that returns money to the original payment method, or a transfer to credit that converts the booking value into account credit the participant can use toward a future booking.
If you cannot see the refund option on a booking, contact Let’s Do This support. Some accounts require LDT to process refunds on your behalf.

Standard refund

Open the booking from the Startlist

In your dashboard, open the event and go to Entries → Startlist. Find the participant’s entry and open their booking.

Open the refund tool

From within the booking, select Refund. The refund form opens showing the participant’s name, event, and ticket.

Select a refund reason

Choose a reason from the dropdown. The available options are:
  • Withdrawal
  • Customer satisfaction
  • Duplicate booking
  • Event cancelled
  • Application unsuccessful
  • Fundraising rebate
  • Merchandise
  • Other
You can also add an optional note for your own records.

Choose the refund amount

Select how you want to refund:
  • Refund from total — enter the amount to refund as a number or percentage of the total. An expandable breakdown shows how the total is composed.
  • Refund by line item — set the refund amount per individual item (ticket, add-ons) and mark each one as canceled or kept.

Set the entry and add-on status

When refunding from total, choose what happens to the entry and any add-ons:
  • Refund and cancel — refunds the amount and cancels the registration.
  • Refund only — refunds the amount without canceling the entry.
If the booking includes add-ons, you also choose whether to cancel or keep them.

Confirm the refund

Click Confirm. A summary modal shows the total to be refunded. Click the confirmation button to process. A confirmation message appears when the refund is complete.

Refund to account credit

Instead of refunding to the original payment method, you can convert a booking’s value to account credit. The participant can apply that credit toward a future booking with your organization. This is done through the Transfers tool.

Open the Transfers tool

From your organizer dashboard sidebar, select Transfers. The transfers homepage shows the available options.

Select Transfer to credit

Choose Transfer to credit. You are prompted to select the participant’s booking.

Configure the credit

The form shows the participant’s current booking details and the total paid. You can:
  • Choose which add-ons to include in the credit value.
  • Optionally earmark the credit for a specific future event.
  • Make adjustments to the credit amount if needed.
The Total paid and Total credit are displayed so you can confirm the values before proceeding.

Confirm

Click Next to review the summary, then confirm. The booking is canceled and the credit is added to the participant’s account.

Limitations

Refund Protect purchases cannot be refunded through the organizer refund tool. If a booking includes Refund Protect and the participant needs a refund, they should claim directly through their Refund Protect provider if they are eligible. Payment plan bookings cannot be refunded through the standard refund tool. To refund a participant on a payment plan, contact Let’s Do This support with the booking ID. See Payment Plans for details. Already-refunded bookings show a warning if the full refundable amount has already been returned. No further refund is possible on that booking.
