The ChronoTrack integration is available to select accounts. Contact your account manager to enable it.
The ChronoTrack integration keeps your participant list in ChronoTrack up to date automatically. When a participant registers or updates their registration, their details are pushed to ChronoTrack without any manual export. You can also sync specific fields from your custom registration questions and map each ticket type to the corresponding ChronoTrack entry category.

Before you start

You need an active ChronoTrack account and at least one event created in ChronoTrack before you can configure the integration. Have your ChronoTrack event ID ready — you’ll need it during setup.

Setting up the integration

Connect your ChronoTrack account

Go to your event in the dashboard and open the ChronoTrack integration page. If your account is not yet connected, click Connect ChronoTrack and follow the authorization steps to link your ChronoTrack account.Once connected, your account details appear at the top of the page.

Map your event

On the Event Mapping tab, click Map event and enter your ChronoTrack event ID. The integration will confirm the event name it found in ChronoTrack.Once mapped, the tab shows both the name from your Let’s Do This event and the name from ChronoTrack so you can confirm they match.

Map ticket types

Below the event mapping, map each ticket type from your Let’s Do This event to the corresponding registration option in ChronoTrack. Participants who register with a ticket that isn’t mapped are not synced.

Set up field mappings (optional)

On the Field Mapping tab, map answers from your custom registration questions to ChronoTrack’s custom fields. Only fields you map here are sent to ChronoTrack; standard fields (name, date of birth, sex, and age) are always included automatically.

Enable real-time sync

On the Sync Settings tab, turn on Real-time sync. From this point, new registrations and updates are sent to ChronoTrack automatically.

Syncing existing registrations

After setting up the integration, use Sync all entries on the Sync Settings tab to push all existing registrations to ChronoTrack. This ensures participants who registered before you enabled the integration appear in ChronoTrack.

What data is sent to ChronoTrack

Every synced participant sends the following standard fields:
  • First name and last name (trimmed and title-cased)
  • Middle name
  • Sex
  • Date of birth and age
  • External registration ID
  • Registration option (your mapped ticket type)
Any custom question answers you’ve mapped on the Field Mapping tab are also sent, each prefixed with custom_ in ChronoTrack.

Syncing an individual participant

To sync a single participant — for example, after correcting a detail — go to Sync Settings > Sync single entry, enter the participant’s registration ID, and click Sync. The participant’s current data is sent to ChronoTrack immediately.

Retrying failed syncs

If a sync attempt fails, it appears in the Failed executions list on the Sync Settings tab. You can retry individual failed entries from there once the underlying issue (such as a ChronoTrack API outage) is resolved.

Removing the integration

To disconnect the integration for an event, go to Sync Settings and click Delete integration. This removes the event mapping and stops all future syncs. Participant data already sent to ChronoTrack is not affected.
