Setting up teams
Teams are configured at the event level, under the Teams tab in event setup. You can create multiple team setups for the same event — for example, one for relay pairs and another for mixed groups — each with its own name, size limits, and rules.1
Open the Teams tab
In your event setup, go to the Teams tab and click Create team setup.
2
Name the team setup
Give the setup a name for your internal use (for example
Run Relay). This name is only visible to you in the dashboard — participants do not see it.3
Set team size limits
Enter a Minimum team size and a Maximum team size.
- If a team falls below the minimum, members see a notice on the team page prompting them to invite others.
- If a team reaches the maximum, no more participants can join.
4
Choose ticket restrictions
Under All team members, choose which tickets members are allowed to hold:
- Are attending the same event — members can hold any ticket for the event. Use this when your team program spans multiple races or categories.
- Are attending the same race — all members must hold a ticket in the same race category.
- Are attending the same ticket — all members must hold the exact same ticket type.
5
(Optional) Add team roles
Toggle Team Roles on to define specific roles within the team (for example, Swimmer, Cyclist, Runner in a triathlon relay). Enter a role group title, then add each individual role option. Participants assign a role to themselves when joining the team at checkout.
6
Save
Click Save. The team setup is now active and will appear to participants during checkout.
How participants join teams
When a participant reaches the teams step in checkout, they choose one of three options:- Start a team — creates a new team and makes them the team captain. They enter a name for the team.
- Join an existing team — shows a list of teams they can join. Public teams are visible to anyone; private teams require an invite link or code.
- No team — skips the teams step and books without joining a group.
Managing your team as captain
The person who created the team is its captain. The captain manages the team from the team page, which has several tabs:- Members — the full list of everyone in the team.
- Member Details — individual member information including contact details (visible to captains and organizers).
- Add-ons — any team-wide add-ons available for the event.
- Event Details — event information for the team.
Inviting members
From the Members tab, click Invite to share the team. For public teams, you get a shareable link. The recipient follows the link, fills in the registration form, and pays for their entry. They’ll see the team name and who’s already joined. For private teams, you get both a shareable link and an invite code. The code is an alternative for participants who find the event themselves — they enter the code at the teams step during checkout to join the right team.Editing team settings
Open Settings from the team page to update the team name. The privacy setting (public or private) can be changed here too — captains can change the name; organizers can change both the name and privacy.- Public — anyone can join.
- Private — others must be invited to join.
Removing a member
Click on a member’s card on the Members tab to open their details, then select Remove from team. Before confirming, you’ll see a summary of what happens depending on who paid:- If you paid for their place: removing them cancels their entry to the event and removes them from the team.
- If they paid for their own place: they are removed from the team only and can still attend the event independently or join another team.
