# HotelPlanner

> Show participants curated hotel options close to your event venue, with check-in and check-out dates pre-filled based on the event date.

  The HotelPlanner integration is configured by the Let's Do This team for
  eligible events. Contact your account manager to set it up for your event. By
  default, the same HotelPlanner link is used across all of your events — ask
  your account manager if you'd like a different link set up for a specific
  event.

HotelPlanner lets participants find and book nearby hotels without leaving the
registration journey. Where the integration is active, a hotel search card
appears on your event page, on the post-purchase confirmation screen, and on
the manage booking page. Participants can browse options and book directly on
HotelPlanner in a new tab.

The integration pre-fills the search with your event's location and suggested
dates — check-in two days before the event and check-out on event day — so
participants land on relevant results immediately.

## What you earn

Every hotel booked through your HotelPlanner link earns you money, with no
extra work on your part. You receive **50% of the commission** HotelPlanner
collects on each booking — typically around \$10 (or £8) per booking. Your
share is paid into your Stripe account on a quarterly basis.

## Where participants see hotel options

### On your event page

The **Hotels & Accommodation** section appears below the event details. It
includes a short description and a **Find your room** link that opens a
pre-filtered HotelPlanner search for your venue.

### After completing a purchase

On the confirmation screen shown immediately after a successful registration, a
**Race day ready hotels** card invites participants to explore accommodation.
Clicking **Explore hotels** opens HotelPlanner in a new tab with location,
check-in, and check-out pre-filled.

### On the manage booking page

The same hotel card is shown when participants view or manage their booking,
so they can find accommodation even if they didn't book it during checkout.

### In a follow-up email

Participants may also get an email after registering, inviting them to book a
hotel through HotelPlanner. It links to the same pre-filled search as the
other placements.

## Suggested dates

The integration pre-fills HotelPlanner with:

* **Check-in** — two days before the event start date.
* **Check-out** — the event start date.

Participants can adjust these dates on HotelPlanner before completing their
booking.
