# Marketing emails

> Create and send promotional email campaigns to your participants across all your events.

Marketing emails are campaigns you send to your broader audience — people who have registered for one or more of your events and opted in to receive marketing communications from you. Use them for announcements, newsletters, race series updates, early-bird offers, and anything that is not specific to a single event.

Unlike transactional emails, marketing emails are only delivered to participants who have given their marketing consent. Always keep this in mind when estimating reach: your total participant count will be higher than your reachable marketing audience.

## The campaigns dashboard

Your marketing email campaigns live under **Email campaigns → Marketing** in your dashboard. The list shows every campaign you have created, along with its current status, subject line, and (once sent) headline performance figures.

Use the search bar to find a campaign by name. The status tabs — **All**, **Draft**, **Scheduled**, **Sent**, and **Error** — let you filter to what you need.

Each campaign card has a menu (the three-dot icon) where you can edit, duplicate, or archive the campaign.

## Creating a campaign

Marketing campaigns follow a five-step wizard. You can save a draft at any step and return later.

  <Step title="Set up the campaign details">
    Click **Create** on the marketing campaigns list to open the campaign wizard.

    On the **Overview** step, fill in:

    * **Campaign name** — internal label only; participants never see this.
    * **Subject** — the subject line participants see in their inbox.
    * **Preheader** — the short preview text shown after the subject in most email clients. A good preheader adds context and improves open rates.
    * **From name** — how your name appears in the sender field. Defaults to your organizer name.
    * **From email** — if your account has a custom sending domain set up, enable **Use a custom from email** and enter the address. Otherwise emails send from Let's Do This by default. Contact your account manager to configure a custom sending domain.
    * **Reply-to name** and **Reply-to email** — where replies from participants are directed. Set these to your own contact details.
    * **Brand theme** — pick a theme to apply your visual branding to the email. See [Branding](/docs/email-communications/branding).

  <Step title="Build the email content">
    On the **Builder** step, compose your email body. When you first open it, choose your editing experience:

    **Basic Builder** — add content blocks in sequence:

    | Block   | Use for                                                  |
    | ------- | -------------------------------------------------------- |
    | Heading | Section titles or the main heading of the email          |
    | Text    | Body copy, paragraphs, and prose                         |
    | Button  | A call-to-action with a label and link URL               |
    | Image   | A photo, banner, or illustration                         |
    | HTML    | Custom HTML for layouts the block builder cannot produce |

    Drag blocks to reorder them.

    **Advanced Builder** — a full drag-and-drop visual editor. Build multi-column layouts, customize spacing, and create more complex email designs with greater visual control.

    Both builders support **personalization variables** so each recipient sees their own data — for example, addressing each recipient by first name. See [Email personalization](/docs/email-communications/email-personalisation) for full detail.

    Click **Preview** to see how the finished email will look before you continue. Click **Save Draft** to save without advancing.

  <Step title="Choose your audience">
    On the **Audience** step, decide who receives this campaign.

    Your total opted-in subscriber count is shown at the top of the step — this is the maximum reach for any marketing campaign you send.

    You can narrow the audience further using an imported segment or a filter. Leave the audience empty to send to all your marketing subscribers. See [Audiences](/docs/email-communications/audiences) for all options.

  <Step title="Set the schedule or trigger">
    Choose how the campaign is sent:

    * **Send now** — delivers immediately after you confirm on the final step.
    * **Schedule** — pick a specific date and time for delivery.
    * **Triggered** — the email sends automatically when a participant action occurs. See [Triggered sends](#triggered-sends) below.

    If you return to edit a campaign that is already scheduled, you'll see a notice. To change the delivery type (for example, from scheduled to send now), cancel the scheduled campaign first — this returns it to drafts — then re-set the delivery option.

    The **Launch** step shows a read-only summary of your campaign settings alongside the expected recipient count for your chosen audience.

    You can still update the campaign name, subject, preheader, from address, reply-to, and brand theme from this step before sending.

    * **Send Test** — sends the email to yourself so you can check formatting and content in a real inbox.
    * **Save Draft** — saves your changes without sending.
    * **Send** (or **Schedule**) — confirms and delivers or queues the campaign.

    A confirmation prompt summarises who the email will go to and when. Confirm to complete the send.

## Triggered sends

A triggered campaign sends automatically when a participant action occurs — without you needing to schedule or manually press send each time. Use triggered sends for welcome emails, follow-ups, or time-sensitive messages that should go out relative to a specific moment for each individual participant.

When creating a campaign, select **Triggered** as the send type. On the Triggers step, configure:

**Trigger type** — the participant action that starts the send:

| Trigger                | What activates it                                  |
| ---------------------- | -------------------------------------------------- |
| Participant Registered | A participant completes registration for the event |
| Participant Checked-In | A participant is checked in at the event           |
| Membership Created     | A participant's membership is created              |

**Timing** — send immediately when the trigger fires, or after a delay you specify in hours, days, weeks, or months.

  Only participants who have opted in to marketing emails from you will receive
  a triggered marketing campaign, even if they meet the trigger condition. To
  send to all participants of an event regardless of marketing preferences, use
  a transactional campaign instead.

## Duplicating a campaign

To reuse a campaign — for example, a seasonal announcement you send every year — open its card menu and select **Duplicate**. The copy starts as a draft with all settings and content copied. Update what you need, then send as normal.

## Archiving a campaign

To keep your list tidy, archive campaigns you no longer need. Archived campaigns do not appear in the default list view. Open the card menu and select **Archive** to archive, or filter by status to find and restore archived campaigns.

## Marketing email unsubscribes

Every marketing email includes an unsubscribe link. When a participant clicks it, they opt out of future marketing emails from you. Their preference is stored and respected on all subsequent campaigns — they will not receive marketing emails until they opt back in.

You can see a participant's marketing email preference on their profile in the Customers section of your dashboard.

## Campaign errors

If a send fails, the campaign card shows an error status. Open the card to see details. Common causes:

* **Missing required fields** — the subject line or email body is blank.
* **Custom from email not authorised** — the from address is not on an approved sending domain. Contact your account manager.
* **Audience issue** — the selected segment returned no valid recipients.

Correct the issue and resend. If the error persists, contact Let's Do This support with the campaign name and error detail.
