# Partner dashboard

> Where your partners manage and distribute the reserved entries you allocate to them.

<Info>
  This page is for **you, the organizer** — how to give partners access, what
  you control, and how to support them. For the step-by-step instructions to
  **share with your partners**, send them the [Partner dashboard
  guide](/docs/ballots-applications/partner-dashboard-guide) and, where it
  applies, the [Partner discounts and invoicing
  guide](/docs/ballots-applications/partner-invoicing-guide).
</Info>

When you allocate a block of reserved entries to a partner — either directly or
by approving a [partner
application](/docs/ballots-applications/partner-applications) — they manage and
distribute those places from their own **partner dashboard**, a separate area
they log into. You never need Let's Do This to set this up, and you can open the
dashboard yourself, as if you were the partner, to operate it on their behalf and
troubleshoot.

A **partner** is an organization you allocate entries to — a charity, company, or
official partner — rather than an individual participant. A **reserved entry** is
a held place; a group of them is what a partner receives to hand out.

<Note>
  A partner has a separate dashboard for **each organizer** they work with. In
  the dashboard for your organization, they see all of your events they hold
  entries for — they'll have a different dashboard for another organizer's
  events.
</Note>

## Giving a partner access

<Steps>
  <Step title="Allocate reserved entries">
    Give the partner a block of reserved entries from your event — directly, or by approving a partner application. This is what grants them dashboard access; there's no separate invite step to manage.
  </Step>

  <Step title="They claim their access">
    The partner receives an email invitation and claims their permissions with the **work email you granted access to**. Point them to the [Partner dashboard guide](/docs/ballots-applications/partner-dashboard-guide) for the exact steps.
  </Step>
</Steps>

<Warning>
  A partner must log in with the exact email the access was granted to, or
  they'll see a permissions error. Ask them to check their spam folder for the
  invitation first; if they need access on a different address, you or your
  Technical Account Manager can issue a fresh invitation link.
</Warning>

## What you control

You set the rules when you **create the reserved entries** — the partner works
within whatever you choose. Your settings decide:

* **Which tickets** the reserved-entry link unlocks.
* **Any discount** applied automatically at checkout.
* Whether each link is **single-use and tied to one person's email** (name and email pre-filled for that person) or a shared multi-use link.
* Whether the partner can **cancel entries** from their dashboard.
* Whether each of the partner's team members gets **view-only** or **full** access, so some can only watch progress while others distribute and manage entries.

<Tip>
  When you make links single-use and tied to a specific email, the recipient's
  name and email are pre-filled and any discount is applied for them
  automatically. Each link is then meant for one named person, so encourage
  partners to double-check the data they upload before sending.
</Tip>

## What your partners do

Once they're in, partners run the day-to-day distribution themselves. In
summary, they can allocate places to people, send and re-send invitation emails,
track each place from **Not allocated** through to **Completed**, cancel entries
if you allowed it, and export their data. If you've enabled marketing opt-ins,
they can also see and export the participants who opted in to hear from them.

The full walkthrough lives in the [Partner dashboard
guide](/docs/ballots-applications/partner-dashboard-guide) — that's the link to
share with them. A place only shows as **Completed**, and the participant only
appears on your Startlist, once the person who received the link finishes their
own registration.

## Discounts and invoicing

If you've enabled partner discounts and invoicing, partners can lower the price
their participants pay by covering part of the cost themselves, then settle the
resulting invoices. You control whether a group is **paid upfront** (entries lock
until the invoice is paid) or **paid as entries are claimed** when you set up the
reserved entries. Share the [Partner discounts and invoicing
guide](/docs/ballots-applications/partner-invoicing-guide) with partners who have
this available.

## Supporting a partner directly

* A partner sees **only their own** organization, events, and entries — never your full organizer dashboard or another partner's data.
* You can open a partner's dashboard yourself to see exactly what they see and help them directly.
* Your Technical Account Manager can help with access or allocation questions.
